FAQs:
- Do students NEED a device to receive a hall pass?
- No. Students should request a pass from their district device to make the process simple, but teachers are also able to create passes for them if needed.
- Teachers may need to initiate the process more frequently until students have time to learn the process.
- Will there be training for SmartPass?
- SmartPass is very intuitive, and there are short training videos available online for teachers and students.
- There are 3 short videos for students linked in each graduating class Google Classroom. Please notify your students that they are expected to watch these videos by January 5th. Until then, please generate passes from the teacher side.
- How will the use of SmartPass change our day to day processes?
- Processes will be largely unchanged. We will simply be using SmartPass in place of paper passes.
- Library passes need to be pre-approved by Linda or Misty.
- Guidance Passes need to be pre-approved by Erick or Mallee
- Sheila will use SmartPass for students who come in late or leave early.
- Most students are limited to 5 passes per day, but teachers can override that limit if needed.
- Scheduled visits require teacher approval in SmartPass
- What options exist to alert teachers of pass requests?
- Email notifications
- Browser push notifications
- If these are not working, you may have do not disturb enabled. You can disable do not disturb or set SmartPass as a priority app to override DnD. Contact tech for help.
- Smartphone push notifications
- All notification settings can be configured from your user account settings page in the web portal and smartphone app.
- Do subs have access?
- Yes, the HSSUBSTITUTE account has access to SmartPass.
- How will the passes work if we are covering for another teacher during our prep or SH?
- A pass should still be able to be generated using your name as the from location if you are covering for someone else and you would enter your normal credentials.
- How many passes are students allotted in a day?
- 5, but as a teacher you can override that. Passes to the office, guidance, and the nurse do not count against pass usage.
- How will club meetings work? Do students need to request passes from us? Can we assign those passes ahead of time based on the list you are inputting?
- There is a “Flex” option for this. You can either issue a pass in advance or you can submit a list of students in your club/organization to Susan along with the date(s) of the meetings and she can input the club info so that student passes will be available for the meeting. For individual students to come to you, they can either submit a pass for you to approve, or you can create a pass for them to come to you.
- How are passes for the Flex space going to be approved?
- Flex passes will only show up as available for seniors and no other students. Their passes are good for 40 minutes. I will be able to see who is signing out to the Flex spaces. The teacher has to approve their pass to leave their room for Flex. When a student comes to you and they are going to be with you for more than a minute or two, you can stop the time on their pass or you can end their pass and start a new one when they leave. If they are coming to drop a paper off and leave immediately, that is covered in the 5 minutes round-trip that they get on a pass on if they put in for a round-trip pass.
- For the Nurse, Library, Counselors...when a student creates a pass, do they have to wait on an approval from the nurse, library, or counselor before they can go?
- For counseling, they do have to wait for the approval. If you feel a student needs to be seen immediately, please take a moment and call Mallee or Erick. For trips to the nurse, Susan, or Matt-they do not need approval in advance. We are still working out the Library details. For Flex periods, students are to request a pass from Linda or Misty prior to 3rd period just as they do now.
- Will there be times that paper passes are still used?
- No. There will be no use of paper passes moving forward, unless there is an internet outage that requires us to revert back temporarily.
- When will we begin using SmartPass for all HS hall passes?
- Monday, January 12th
- What do teachers need to do to get started?
- Watch the 18 minute training video
- Accept your class rosters that have been automatically imported from Clever.
Pro Tips:
- Teachers can approve passes from the student’s device using the teacher’s approval pin. This can be used when you don’t want to disrupt what is currently on the teacher computer.
- In some cases, when students request a pass, they can choose the sending teacher or destination teacher as the approver. Whoever they choose is who the request gets sent to.
- Teachers can see pending passes in their pass requests on the home screen. Students can see them on their calendar.
